Summary
Executive Secretary to elementary and middle schools Assistant Principals is a key member of a dynamic team serving the office of American School Dhahran. The position is primarily responsible for providing administrative support to the Assistant Principals in running and organizing elementary and middle schools of American School Dhahran.
Job Duties
The successful candidate will be able to effectively:
- Demonstrate commitment to the safety and security of children and young people (child protection)
- Provide administrative support to Assistant Principal, Counselor, and Learning Support for ASD Little Learners and elementary school
- Provide administrative support in managing Coolgang
- Track and produce a weekly summary report of students’ attendance and discipline analysis
- Acquire and maintain a working knowledge of ISG Support Services policies, practices, and procedures
- Manage the Assistant Principal appointment calendar and schedule
- Provide support in managing substitute teachers if needed
- Organize and prepare documents for meetings, including taking minutes
- Create and maintain event calendars for students, staff, and ISG District Office
- Responsible for creating and maintaining student ID
- Responsible for student & staff photos process and schedule
- Assisting new staff with ID and Transportation arrangement
- Coordinate with ISG Support Services and Transportation in supporting all events such as Principal-Parent Info Night, Parent-Teacher Social, Parent-Teacher Conferences, Graduation, and all other teachers sponsored events
- Responsible for managing events at Little Learner and elementary school, including overseeing event action plans, facility bookings, liaise and coordinate with all relevant parties
- Support the bookkeeping office in matters such as collecting/distributing cash from students, checking overseas orders, etc
- Provide support to Assistant Principal in liaising with all staff for cool gang arrangement
- Be part of master schedule building team for Little Learners and elementary school
- Be part of safety and emergency team
- Take initiative in prioritizing tasks to ensure deadlines are met and the overall administrative function of the school runs smoothly
- Respond to urgent requests
- Exercise reasonable judgments
- Maintain communication and working relationship with all stakeholders
- Provide customer service and meet informational needs of ASD stakeholders (staff, students, parents and ISG personnel)
- Maintain a safe learning environment for students and staff at all times
- Perform other duties as assigned by the Principal and the Assistant Principals
Qualifications and Knowledge
The ideal candidate will have:
- Minimum of Bachelor’s degree in a related field of study
- Excellent knowledge and understanding of the use of IT in an administration role
