We are currently seeking an organized, proactive Administrative and Personal Assistant to join our executive team. This is a role for someone who thrives in a fast-paced environment and enjoys multitasking. The ideal candidate will be flexible, highly motivated, and capable of working both independently and within a team.
Role Summary:
The Administrative and Personal Assistant will support the executive team in all administrative and personal tasks, ensuring the smooth operation of the office. They will manage executive schedules, answer and direct calls, greet visitors, oversee administrative policies, and create reports, presentations, and briefs. In addition to administrative tasks, this role also includes personal assistant duties such as organizing personal and professional calendars, arranging travel and accommodations, and managing household tasks as needed.
Key Responsibilities:
- Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
- Handle administrative tasks proficiently using a Mac.
- Read and analyze incoming memos, submissions, and distribute them as needed.
- Oversee administrative policies within an organization and within the office; recommend changes as appropriate.
- Organize personal and professional calendars and supply reminders of upcoming meetings and events.
- Handle sensitive information in a confidential manner.
- Stay updated with current trends and willing to learn new things.
Requirements:
- Full comprehension of office management systems and procedures.
- Excellent knowledge of MS Office and proficiency in using Mac.
- Exemplary planning and time management skills.
- Ability to multitask and prioritize daily workload.
- High level verbal and written communications skills.
- Discretion with personal and confidential information.
- Ability to work under pressure and meet deadlines.
- Willingness to learn new things and stay updated with current trends.
- Proven experience as an administrative assistant or in other secretarial position is a plus.
- Proficiency in English is a must; ability to read and write in Chinese is a plus
Working Conditions:
This position requires flexibility in hours, as the executive’s schedule can sometimes extend into evenings and weekends. Some travel may be required for the purpose of off-site meetings and events.
